- Key Activities/Responsibilities:
- Prepares payrolls, expense accounts and other accounting tasks
- Prepares and sends invoices, maintains accounts receivable and payables
- Completes all compliance reporting: TWC, tax remittances, insurance and worker’s compensation etc.
- Keeping databases up to date
- Prepares contracts and administrative support for new employees (onboarding)
- Class and archive papers and electronic files/records
- Organize trips and make the necessary reservations and logistics
- Answer phone calls, set meetings and schedules
- Liaise with international partners
- Perform other related tasks
- Desired Skills:
- Proficiency in Microsoft Office and SAGE software necessary
- Strong working experience with QuickBooks
- Proficiency with online tools such as: Google Drive, Trello, Monday.com, Photoshop or similar

Position Summary
Inspect, diagnose & repair commercial vehicles to keep trucks safe, DOT compliant and improve CSA scores.
LIST 6 HIGH PAYOFF ACTIVITIES IN ORDER OF IMPORTANCE. THESE ACTIVITIES ARE WHERE 80% OF THE EMPLOYEE'S TIME SHOULD BE SPENT. ASSIGN EACH ACTIVITY A PERCENTAGE ADDING UP TO 100%. THE % SHOWS HOW IMPORTANT EACH ACTIVITY IS WHEN COMPARED TO THE OTHERS.
1. SAFETY LANE - Thoroughly inspect trucks and attached trailer chassis at fuel island for defects to ensure vehicles are safe and free from defects that would result in the assessment of equipment violations during roadside inspections being conducted by law enforcement. Inspections should be equivalent to a Level I or Level II inspections, depending on traffic at the fuel island. This includes checking PSI utilizing a tire pressure gauge on all Duncan owned chassis. Inspections must be performed utilizing a Vehicle Inspection Checklist and all defects or concerns must be noted on this form. Defects found that meet the North American Standard Out of Service Criteria must be brought to Fleet Maintenance Director’s attention. Affix stickers to truck with inspection date. A minimum of 100 inspections (50% of fleet) must be inspected per month. Turn in original inspection form to Safety. Those filled out before 3 PM must be turned in same business day. Those after 3 PM first thing the next business day. (55%)
2. PREASSIGNMENT INSPECTIONS - Perform Level I inspections on “open” vehicle utilizing a Vehicle Inspection Checklist as outlined above. Also note any cosmetic damage to interior/exterior of vehicle, inoperable sleeper compartment cabinet doors, missing curtains, etc. Notify Fleet Maintenance Directors of any defects. Turn in form to Safety upon completion of inspection. (35%)
3. MISC – Keep fuel island area clean and free of debris. Monitor availability of absorb-all (kitty litter), windshield washing supplies/tools. Perform other tasks as directed by Fleet Maintenance Director. (10%)
- TASKS AND ACCOUNTABILITIES:
- Accurately document labor hours on Vehicle Inspection Sheets or work orders while performing other assignments.
- Avoid all confrontational issues with drivers. Report issues to Fleet Maintenance Director or Safety Manager.
- Comply with all safety regulations, including the use of personal protective equipment when appropriate.

- 1. Trucks do not receive roadside inspection violations after recent safety lane inspections.
- 2. Inspections and inspection frequency will be monitored and measured by Safety to insure 50% of fleet is inspected per month.
- 3. New drivers do not report defects on assigned vehicles.
- Qualifications:
- Must have basic knowledge of diesel engines, powertrains, suspensions, brakes, tires, wheels and electrical systems and other mechanical compenents . Must be knowledgeable of North American Standard Out of Service Criteria. Must be able to read and write legibly. Must have the ability to do basic trouble shooting to correctly defer issues to shop mechanics.
- ESSENTIAL PHYSICAL AND MENTAL CAPABILITIES:
- Must be able to continually stand, stoop, bend, and squat repeatedly for up to 10 hours. Must have the dexterity to maneuver in and around vehicles and chassis. Must be able to push, pull & lift up to 100#. Must be able to work in diversified environments, such as cold, heat, wind, wet, or other ambient conditions.
